Taxi inspection in Flanders: must you be able to show your route sheet and transport document right away?

What must you be able to show during a taxi inspection? Learn how Uber or Bolt drivers in Flanders keep route sheets and transport documents available.

During an inspection you must be able to present the data from your route sheet and transport document on request. That also applies when you only drive via Uber, Bolt or Heetch.

In the written clarification to TaxiGer it is indicated that this must be possible at short notice, so the officer can carry out the necessary check. The practical question is therefore whether you can readily access the requested data from your vehicle.

The documents must be reachable during your duty

A file that exists somewhere is not necessarily a file you can show during an inspection. Think of a document that only your office can access, or an app where you do not know where the route sheet is.

Article 36 of the Flemish operating decree concerns presenting the data on request. Article 34 requires a readable, understandable representation of the original route sheet data from the equipment in the vehicle. See articles 34 and 36.

In practice this means you must know in advance how to open the relevant data. A promise to look for them after the working day offers no direct solution during the inspection.

Is there a fixed time limit in minutes?

The written clarification provided does not mention a fixed number of seconds or minutes. It speaks of availability at short notice so the officer can inspect.

It is therefore not correct to turn that yourself into a universal time limit of, for example, two or five minutes. Organise your working method so the data are accessible during the inspection.

Can you show digital data?

Working digitally is possible. The clarification received confirms, for example, that no physical printer is needed for the transport document and that handling may go via the platform app.

Do check, however, whether you yourself can reach the data an officer needs. Only knowing that the customer receives a document does not yet say where you can find it during an inspection.

Practise the action before your next duty

A simple preparation is to simulate the situation yourself once:

  1. Open the application with which you manage your route sheet.
  2. Find the ongoing duty and check whether you can generate a copy.
  3. Find the data for a completed trip and the related transport document.
  4. Check whether you can show the information clearly.

These are practical preparation tips. They do not add new legal document types.

Do you work for an operator with several drivers? Then have every driver carry out the same action. That way you see whether access also works for the driver and not only for the manager.
